Set up and manage templates

Set up a template and add or change the template details. Add and order questions and sections. Publish a draft template and create a new query from it. Copy a template to use it as the basis of a new template, or delete a template you no longer need.

Create a template

Enter the general details of a template.

  1. Go to Ask and select the Templates tab, then click Create template.
  2. In the Template name field, enter a name for the template.
  3. (Optional) Enter a description of the template.
  4. Click Create.

Ask creates the template with one blank question and an untitled section. Enter the details for these before adding more.

Edit a template

You can edit a template to change the template details. For draft templates you can also add, change, delete, or reorder questions and sections.

To change the template details for a published template:

  1. Click the menu icon Xero HQ menu icon and select Edit template details.
  2. Change the template name or description, then click Save.

To make changes to the questions or sections in a published template, click the template name then:

  1. Click the menu icon Xero HQ menu icon and select Edit template.
  2. Click Edit then:
    • Click the pencil icon and change the template name or description.
    • Add new questions or sections, or change the existing questions and sections.
    • Reorder the questions or sections.
  3. When you are ready to make the template available to everyone in your practice, publish the template again.

To make changes to a draft template, click the template name then:

  • Click the pencil icon and change the template name or description.
  • Add new questions or sections, or change the existing questions and sections.
  • Reorder the questions or sections.

Publish a template

To publish a draft template and make it available to everyone in your practice:

  1. Go to Ask and select the Templates tab.
  2. Select Draft templates and find the template you want to publish.
  3. Click Publish, then click Publish to confirm.

Create a query from a template

To create a new query from a published template:

  1. Go to Ask and select the Templates tab.
  2. Select Published templates and find the template you want to create the query from.
  3. Click Use template.
  4. In the Client field, select a client from the client list.
  5. (Optional) Update the query name.
  6. (Optional) Select a financial period or a due date.
  7. Click Create.

Copy a template

To copy a template and use it as the basis of a new, draft template:

  1. Click the menu icon Xero HQ menu icon and select Copy template.
  2. In the Template name field, enter a name for the template.
  3. (Optional) Enter a description of the template.
  4. Click Copy template.

Ask creates a copy of the template with the same questions and sections. You can make changes to the questions and sections before publishing the template and making it available to everyone in your practice.

Delete a template

  1. Click the menu icon Xero HQ menu icon and select Delete template.
  2. Click Delete to confirm.
When you delete a template, queries based on the template remain unchanged.
