Trial Balance

The Trial Balance shows the balances coded to accounts in your chart of accounts for a specific month. Your user role determines if you can view the report and what you can do with it.

About the Xero trial balance

You can generate a new trial balance whenever you want. If you're viewing it for the first time, make sure your starting balance in Xero matches the one in your previous accounting system.

If the report is produced by someone with the Adviser user role, it may include notes or a report summary.

If you are using multi-currency, the notes show the figures converted into your base currency for reporting in one currency, the conversion rate, and where the rate was from (an XE rate or manually entered).

Regardless of the transaction date, amounts are recorded against your accounts once the transactions are approved (awaiting payment invoices or bills, or authorised expense claims). Bank transactions display immediately (receive or spend money, bank account transfers, and invoice or bill payments.

Check your starting trial balance

The first time you view your Xero trial balance is usually when you've just set up your organisation in Xero. You should compare it to the trial balance (or other source of account balances) from your previous accounting system to make sure they match.

  1. Go to Reports, then click All Reports.
  2. Under Accounting, click Trial Balance.
  3. Check the balance against the one from your previous system.

If the balances are different, review the account balances you entered as your starting point in Xero.

Talk to your accountant or bookkeeper if you can't get the balances to match.

Generate a trial balance

  1. Go to Reports, then click All Reports.
  2. Under Accounting, click Trial Balance.
  3. Select the date you want to run the report for.

    If you sort by account code, the codes show in the report.

  4. Click Update to generate the report.
  5. Drill into individual transactions to see the detail:

Export your report

To export the report:

  1. Click Export, then select your preferred export option:

    • Excel
    • PDF (printable format)
    • Google Sheets
  2. Open, save or print the file as you need.
