Remove item codes from invoices and other documents

If you use item codes, they'll display by default on PDF invoices, credit notes, quotes or purchase orders that use a custom (DOCX) branding theme. You can remove these codes from customised documents.

Read the rules for using custom (DOCX) templates for invoice branding before you customise your DOCX template.

Remove item codes from a standard branding theme

  1. In the Settings menu, select General Settings.
  2. Under Features, click Invoice Settings.
  3. Next to the standard theme you want to update, click Options then select Edit.

  4. Uncheck the Show item code field.
  5. Click Save.

Download a custom invoice template with the item codes removed

Download our custom (DOCX) invoice template with the item codes removed. Removing item codes this way may suit you if you haven't yet customised your invoice template.

Remove item codes from a custom template you've already edited

  1. Click Settings, then select General Settings.
  2. Under Features, click Invoice Settings.
  3. Find the theme you want to change and click Download.
  4. Use Microsoft Word (or equivalent) to open the template you want to change from the ZIP file.
  5. In the Description column, highlight «ItemCode»

  6. Delete the field.
  7. Highlight «TableStart:LineItem», «Description»
  8. Right-click and select Toggle Field Codes.

  9. Check that the code remaining is { MERGEFIELD  TableStart:LineItem  \* MERGEFORMAT }{ MERGEFIELD  Description  \* MERGEFORMAT }

    If you have extra code, delete it as it will be part of the item code field.

  10. Highlight the code, right-click and select Toggle Field Codes. «TableStart:LineItem»«Description» will display.

  11. Save the file to your computer.
  12. In Xero on the Invoice Settings screen, click Upload to upload your edited file and update the custom template.
