View a prepayment in Xero, online, or as a PDF.

View a prepayment in Xero, and print to PDF

  1. After you add a prepayment in Xero, in the Accounts menu either:

    • Select Sales or Purchases - Xero displays the prepayment in the Awaiting Payment tab.

    • Select Bank Accounts, then the account where you added the prepayment - On the Account transactions tab Xero displays the prepayment as a Spend Money or Receive Money.

  2. Click to open the prepayment.
  3. Click Print PDF.

Learn what information displays on an online prepayment you sent to your customer or yourself.

Outstanding bills button

Displays if:

  • You allow customers to view outstanding bills in your invoice settings
  • Your customer still owes you money.

Remove or include link to view outstanding bills online

Displays if you apply a DOCX branding theme to your customer's prepayment.

Download and view supporting files - displays if you include files with an online prepayment.

PDF linkPDF button

Generate and print a PDF copy of the online prepayment. This PDF will be different to the PDF prepayment attached to the original email, if you subsequently apply some or all of the prepayment to an invoice.

CSV linkCSV button

Download a CSV file of the prepayment.

Less credit to invoices

View amount credited to invoices if you apply:

  • Some of the prepayment to an invoice, the amount in credit reduces.
  • All of the prepayment to an invoice, it shows as paid.

Less cash refunded

View cash refunded if you refund:

  • Some of the prepayment, the amount in credit reduces.
  • All of the prepayment, it shows as paid.

Questions or comments about this bill?

Email directly from the online prepayment - your recipient can email you directly from the online prepayment. You'll receive the email if you created the prepayment.

Links to Facebook, Twitter, LinkedIn and Google+ accounts

Your recipient can connect with you through social media channels. If you've added your organization's social media links, your recipient can connect with you.

View map link

View a map of your address if you used the Find address field in Organization Settings, a map of your address will display.

How branding affects the look of prepayments

Online prepayments with DOCX branding themes will display differently, and have extra features, compared to other types of online prepayments.

In an online prepayment with a DOCX branding theme you will see:

  • Your trading name and postal address

    You will see the legal or trading name and postal address from Organization Settings. This may differ to the contact details you set up in your branding theme.

    The PDF emailed via the online prepayment link, and from within the online prepayment, will both display the contact details that you set up in your branding theme.

You won't see:

  • Your logo

    You won't see your logo displayed in your online prepayment if it has DOCX settings, but it will appear in both the PDF emailed with the online prepayment link, and from within the online prepayment.

  • Line item information

    Line item information, such as the description, quantity, unit price and tax, doesn't display.

    However, the PDF emailed via the online prepayment link, and from within the online prepayment, will both display line item information.

  • Your tax number

    The tax number you might expect to see is the Tax ID number you entered in Financial Settings.

    This tax number appears in the PDF emailed with the online prepayment link and in the PDF that you can view from within the online prepayment.
