Show tax inclusive line items or tax column on invoices or other documents

Edit your branding theme to show tax inclusive line items or the tax column on sales invoices, credit notes, quotes, statements and purchase orders.

If your organization is not registered for sales tax, Xero shows tax separately (as tax exclusive) no matter how you enter your invoice or credit note in Xero. Xero also excludes the tax column on standard branding themes.

Show the tax column using a standard branding theme

  1. Click Settings, then select General Settings.
  2. Under Features, click Invoice Settings.
  3. Next to the standard theme you want to update, click Options then select Edit.

  4. Check the Show tax column field.

  5. Click Save.

Your invoice now shows the tax column.

Show tax inclusive line items using a standard branding theme

  1. Click Settings, then select General Settings.
  2. Under Features, click Invoice Settings.
  3. Next to the standard theme you want to update, click Options then select Edit.

  4. Select Show taxes as Inclusive.

  5. Click Save.

Your now shows taxes as inclusive.

Custom invoice template with tax inclusive line items (Word, 24KB)

Show tax inclusive line items on DOCX templates you've already customized

  1. Click Settings, then select General Settings.
  2. Under Features, click Invoice Settings.
  3. Find the theme you want to change and click Download.
  4. Use Microsoft Word (or equivalent) to open the template you want to change from the ZIP file.
  5. Under the Unit Price column, highlight «UnitAmount»
  6. Right-click and select Toggle Field Codes.

  7. Replace UnitAmount with TaxInclusiveUnitAmount.

  8. Highlight the code, then right-click and select Update Field.
  9. Under the Amount column, highlight «LineAmount»
  10. Right-click and select Toggle Field Codes.

  11. Replace LineAmount with TaxInclusiveLineAmount

  12. Highlight the code, then right-click and select Update Field.
  13. (Optional) If you don't want the tax rate you've used in Xero to show on sales invoices that use this branding, remove the «TaxUnitName» and «TaxPercentage» cells.
  14. Right-align the column on the right.
  15. Save the file to your computer.
  16. In Xero on the Invoice Settings screen, click Upload to upload your edited file and update the custom template.
