Change page layout of invoices or other documents

Edit your branding theme to change the margins, page size or address padding on sales invoices, credit notes, quotes, statements, purchase orders, receipts and remittance advices.

If you use letterhead paper, you might need to change your margins to push down the start of the document. If you use window envelopes, you can use address padding to change where the invoice address is in relation to the left-hand margin.

Change page layout on a standard theme

  1. In the Settings menu, select General Settings.
  2. Under Features, click Invoice Settings.
  3. Next to the standard theme you want to update, click Options then select Edit.

  4. Use the Page size, Top margin, Bottom margin, Measure in and Address padding fields.

    • If you're adjusting the margins, use positive numbers, up to 2 decimal places, and no greater than 10 cm (4 inches). The top margin determines how far down the heading and logo (if you use one) or invoice date will be from the top of the page.
    • Use address padding to alter the position of the address for window envelopes (in relation to the left-hand margin). Use numbers from 0 to 5cm (or 0 and 2 inches) up to 2 decimal places. Address padding is measured within the margins of the page, not from the edge of the page.

  5. Click Save.

Change page layout on a custom theme

You can edit the page layout on a custom (DOCX) theme.

Read the rules for using custom (DOCX) templates for invoice branding before you start customizing your DOCX template. Custom themes aren't available for remittance advices.
  1. Click Settings, then select General Settings.
  2. Under Features, click Invoice Settings.
  3. Find the theme you want to change and click Download.
  4. Use Microsoft Word (or equivalent) to open the template you want to change from the ZIP file.
  5. Use Page Layout to change the margins, page orientation and page size, just like you would with any other Word document.
  6. Save the file to your computer.
  7. In Xero on the Invoice Settings screen, click Upload to upload your edited file and update the custom template.
