Add your logo to invoices or other documents

Use invoice branding to add your logo to invoices, credit notes, quotes, statements, purchase orders, receipts and remittance advices. When you add a logo to a standard theme, it will also display on emails you send from your organization in Xero. For custom themes, you'll need to upload a separate logo specific to emails.

Add your logo to a standard theme

  1. Create and save your logo to your computer:

    • The file type must be a JPG, GIF or PNG (non-interlaced).
    • The file size must be less than 1MB. If your file is too large, save it as a different file type, reduce the quality, or use a custom branding theme.
    • The dimensions will be scaled to a maximum of 400 pixels wide and 120 pixels high to fit into the space allowed on the invoice. You can resize the logo using a graphics program.
  2. In the Settings menu, select General Settings.
  3. Under Features, click Invoice Settings.
  4. Find the branding theme you want, then click Upload Logo.

  5. Browse for, and select the logo you saved to your computer.
  6. Click Upload.
  7. (Optional) Left-align your logo if you want to change its position.
  8. Click Options, select Edit and make sure the Show logo checkbox is selected.

Add your logo to a custom theme

Read the rules for using custom (DOCX) templates for invoice branding before you start customizing your DOCX template. Custom themes aren't available for remittance advices.
  1. Create and save your image to your computer. It must be a JPG, PNG (non-interlaced) or GIF.
  2. Click Settings, then select General Settings.
  3. Under Features, click Invoice Settings.
  4. Find the theme you want to change and click Download.
  5. Use Microsoft Word (or equivalent) to open the template you want to change from the ZIP file.
  6. Either click on the image icon to insert your logo, or insert it just as you would any other image.

    Insert your image into this (or another) table cell in the template. If you insert your image outside a table, it may print out over some of the text.

    If you're not adding a logo, just leave the cell and text - you don't need to delete them as they won't display when you generate your invoice, credit note, statement or purchase order.

  7. Find and select the image file you've saved to your computer.
  8. Click Upload.
  9. (Optional) Change the logo's position.
  10. Save the file to your computer.
  11. In Xero on the Invoice Settings screen, click Upload to upload your edited file and update the custom template.
  12. (Optional) To include a logo in your emails, click Upload email logo, select the image file, and click Upload.
