Change the font or font size, or add a barcode on your invoices and other documents

Customize a branding theme to edit the font in your invoices, statements, credit notes, quotes, purchase orders, receipts and remittance advices.

About fonts and custom branding themes

If you use custom (DOCX) branding themes to customize your documents, there are hundreds of web-supported fonts, and simplified and traditional Chinese, Japanese, Korean and Russian. Xero supports:

Edit the font on a standard branding theme

Xero supports a limited number of fonts and sizes with standard branding so that the fonts display correctly regardless of your computer or settings, and the PDF text prints at a reasonable size for the layout.

  1. Click Settings, then select General Settings.
  2. Under Features, click Invoice Settings.
  3. Next to the standard theme you want to update, click Options then select Edit.

  4. (Optional) From Font, select the font you want. From Font size, select the size you want.

  5. Click Save.

If you want to use a different font or font size, create a custom branding theme.

Edit the font on a custom branding theme

If you use custom (DOCX) branding themes, change the font on your documents. You'll need to make sure the font you want to use is installed on your computer. Unsupported fonts probably won't show on your PDFs (even if your Word file looks OK).

  1. Click Settings, then select General Settings.
  2. Under Features, click Invoice Settings.
  3. Find the theme you want to change and click Download.
  4. Use Microsoft Word (or equivalent) to open the template you want to change from the ZIP file.
  5. Edits the font in the template.
  6. Save the file to your computer.
  7. In Xero on the Invoice Settings screen, click Upload to upload your edited file and update the custom template.

Add an invoice number barcode to a custom branding theme

You can insert a barcode into a custom (DOCX) template using a free barcode font, as long as your invoice number doesn't contain a colon (:).

  1. Install the free barcode font on your computer.
  2. Click Settings, then select General Settings.
  3. Under Features, click Invoice Settings.
  4. Find the theme you want to change and click Download.
  5. Use Microsoft Word (or equivalent) to open the template you want to change from the ZIP file.
  6. Insert the invoice number:

    • Click Insert, then insert a field from Quick Parts.
    • From Field names, select MergeField.
    • Enter InvoiceNumber into the field name.
  7. In the template, add asterisks to the merge field. That is, *<<InvoiceNumber>>*
  8. Apply the free barcode font to this merge field (it'll either be 'Free 3 of 9' or 'Free 3 of 9 Extended').
  9. Save the file to your computer.
  10. In Xero on the Invoice Settings screen, click Upload to upload your edited file and update the custom template.
