Update multiple inventory items

If you have many inventory items to change in Xero, you can update them in one go using our CSV template. You can update both tracked and untracked inventory items using the template.

Points to note about changing multiple inventory items

  • If you only have a few items to change, it may be quicker to update them individually.

    Edit or delete items in inventory

  • You can't delete multiple inventory items this way, but you can remove some individual details, like price, from items.
  • You can add new inventory items to your file while you're updating existing ones, and import them together into Xero.

Change or delete details of multiple inventory items (not including item codes)

Follow this process to change or delete the description or unit price, or change the account or tax rate of multiple inventory items already in Xero:

  1. Export your inventory items to CSV
  2. Make your changes to inventory items in the exported file, add any new ones, then save the file. If you're not changing an item, don't delete it, just leave it. Xero knows not to add it to your list again.

    Unless you're reformatting the code because it starts with zero, make sure you don't change information in the ItemCode column as this will create a second inventory item (one with the old code and one with the new code).

Change item codes and other details of multiple inventory items

If you want to change item codes but retain the sales history, you'll need to edit each item's code individually.

Edit an inventory item

Follow this process to update the item codes of multiple inventory items already in Xero. This method won't retain the sales history. You can also change or delete the description or unit price, or change the account or tax rate at the same time:

  1. Export your inventory items to CSV
  2. Save the file to your computer.
  3. In Xero, delete the inventory items that you're changing the item code for
  4. Change the item codes in the exported inventory item CSV file.
  5. Make any other changes to inventory items in the exported file, add any new items, then save the file. If you're not changing an item, don't delete it, just leave it. Xero knows not to add it to your list again.
