Group, filter, export and print payroll reports
Once you've run a payroll report, you can group and filter the results, change the view, export it to Adobe PDF or Microsoft Excel, and print it. Payroll reports can't be saved as draft, published, archived or favourited in Xero.
Group and filter your report
Organise your report data using groups and filters. Grouped data and filters flow through to exported reports.
Depending on the report, you can group by employee or employee group, pay item or pay item type, earnings rate, or timesheet category. For example, Group by Employee groups report lines under employee names. The default Standard View shows each line separately without grouping.
From the filter field above your report results, select a grouping option.
Enter text into the search field to filter your payroll report. A text filter button shows at the top of the report.
Click it to remove the filter.
Show and hide columns, widen the view
Show and hide the columns on your report, and show it on the full width of your screen. Hidden columns still display in the exported or printed version.
To show or hide columns, select the Show/Hide Column drop-down, then clear or select the column checkboxes.
To widen or narrow the report view, click the wide view icon.
Export and print a report
Once you've run a payroll report, you can export it to PDF or Excel and print it. Any grouped data and filters flows through to the exported report. Any hidden columns still display in the exported or printed version.
To export, from Export at the bottom of your report either:
- Select PDF to download the report in PDF format
- Select Excel to download the report in Excel format
To print, click Print at the bottom to open a printable version in a new browser window, then print your report from your browser.
