Inventory Item Transactions report

Use the Inventory Item Transactions report to list the transactions you've entered into Xero for an untracked inventory item. Invoices, bills and credit notes which have the status of draft or awaiting approval, as well as inventory items you've used in purchase orders, are not included in this report. Drill down from the Inventory Items Summary to get to this report.

Your user role determines if you can see this report, and whether you can save and publish it or just view it.

Choose the data to show in the report then generate it

Choose or update the report options then generate the report. Use the:

  • Item field to choose from your list of inventory items. Only those items that have ever been used on a transaction will display. The default is the item you drilled down from the Inventory Items Summary.
  • From and To fields to choose the timeframe of the report. The default dates are the same as the report you've drilled down from.

Then use the Update button to generate your report. Use the Update button each time you change the date or other report options.

Fields

If you're using multi-currency in Xero the report will display an additional option to view inventory transactions undertaken in a specific currency. Find out more about multi-currency reports in Xero.

View transactions that make up sales and purchases of the untracked inventory item

View invoices

All approved invoices, bills, credit notes, spend money and receive money transactions that use the inventory item you've chosen will display.

Select individual transactions

Click on the date of the invoice, bill, credit note, spend money or receive money transaction to drill down to the see the transaction:

Export your report

To export the report:

  1. Click Export, then select your preferred export option:

    • Excel
    • PDF (printable format)
    • Google Sheets
  2. Open, save or print the file as you need.

If you are viewing a report produced by someone with the Adviser user role, you may see notes or a summary on the report. You may be able to export, archive or edit the report, depending on your user role.
