Change your contact address details on your invoices or other documents

Use invoice branding to change your organisation's contact address details that display on invoices, credit notes, quotes, statements, purchase orders, receipts and remittance advices.

What you need to know

Your contact address on invoices, credit notes, quotes, statements, purchase orders, receipts and remittance advices is the postal address entered in Organisation Settings. Your organisation's name is the legal name in Organisation Settings that you'll need to enter before you can send out legal tax invoices.

Changing the name or address that appears on your documents using invoice branding doesn't affect your contact details in Organisation Settings.

Change your contact details on a standard theme

  1. Click Settings, then select General Settings.
  2. Under Features, click Invoice Settings.
  3. Next to the standard theme you want to update, click Options then select Edit.

  4. Change the contact details.

  5. Click Save.

Change your contact details on a custom theme

If you use a custom (DOCX) branding theme, you can add a static contact address or change which of your contact detail fields from Xero display on your invoices, credit notes, statements or purchase orders.

Read the rules and recommendations for using custom templates before you start customising your DOCX template.
  1. Click Settings, then select General Settings.
  2. Under Features, click Invoice Settings.
  3. Find the theme you want to change and click Download.
  4. Use Microsoft Word (or equivalent) to open the template you want to change from the ZIP file.
  5. Highlight fields «OrganisationName» and «OrganisationPostalAddress» from the header and footer.
  6. Click Delete.
  7. Enter the address you want to display. Or you can insert individual address fields that you've entered into Xero that you want your template to display.

  8. Save the file to your computer.
  9. In Xero on the Invoice Settings screen, click Upload to upload your edited file and update the custom template.
Custom themes aren't available for receipts or remittance advices. You can adapt an invoice DOCX template to create a receipt.
