Add templates for emails you send from Xero

Add up 10 templates to reuse for the different types of emails you send from Xero. Add email templates for quotes, invoices (including repeating), receipts, remittance advices, credit notes, purchase orders, and statements.

How it works

  • Xero provides default email templates for each template type. They’re named 'Basic' in your Email Settings.
  • All email templates contain a default subject, message text, and placeholders.
  • You can edit the default templates and create new ones.
  • You can hide the View invoice button and summary information (amount due, due date, invoice number) in your invoice emails.
  • You can include a logo in your emails.
  • Invoice reminders also use email templates that you can edit when you add the reminder.

Add an email template

  1. In the Settings menu, select General Settings.
  2. Under Features, click Email Settings.
  3. Click Edit next to Templates.
  4. Click Add email template.

  5. Select the type of email template to set up. Xero enters default text and placeholders into the fields based on your selection.

  6. Enter information in the email template.
  7. Click Save.

Email template fields explained

This section provides guidance and tips on the email template fields.

  • Type (Add email template only)

    Select an email template type:

    • Credit Note
    • Purchase Order
    • Quote
    • Sales Invoice (Xero also uses this template type for prepayments)
    • Remittance Advice
    • Repeating Invoice
    • Statement
    • Receipt
  • Name

    Enter a unique name for your template.

  • Default

    Select this checkbox to make the template the default for the selected template. If you're editing the template, you can't make it the default.

  • Include quick link to online invoice and detail summary

    Clear this checkbox to hide the View invoice button and summary invoice information (amount due, due date, invoice number) in your invoice emails.

  • Message

    Edit the email subject and message. Insert placeholders for other content you want to include.

Insert placeholders

Placeholders are named markers where content from Xero displays when you send the email. Placeholders have square brackets around them, for example [Contact Name].

Insert placeholders into the subject and message by selecting from the placeholder list. You can also type them in, but you'll need to enter square brackets around the placeholder name, for example [Trading Name]. (Xero will insert the placeholder into the template wherever your cursor is.)

Credit note
