Email a payslip (using Xero's Pay Run feature)

Send email copies of payslips to your employees after you process a pay run so they have details about their earnings and deductions for the most recent pay period

When emailing a payslip, if you enter an email address of any employee you don't have an existing email for, this will add the email address to the employee's contact record.

You can also edit an existing email address on this screen, but this will not update their email address permanently in Contacts.

Email an individual payslip to an employee

  1. In the Accounts menu, select Pay Run.
  2. Click on the pay period the payslip occurred within.
  3. Click the amount in the Net Pay column next to the employee whose payslip you want to email.
  4. Click Email.
  5. Enter the email address if this field is blank.
  6. Add a Subject and Message.
  7. (Optional) Select the Mark as sent checkbox.
  8. (Optional) Select the Send me a copy checkbox to receive a copy of the email yourself.
  9. Click Email.

Email multiple payslips to your employees

  1. In the Accounts menu, select Pay Run.
  2. Click on the pay period to open the pay run summary.
  3. Click Send Payslips.
  4. Select the checkboxes next to the names of employees you want to email payslips to, or select the top checkbox to select all.
  5. (Optional) Select the Show employee's tax number on payslips checkbox if you want employee tax numbers to display on the selected payslips.

  6. Click Email to send multiple payslips using the same email message and subject.
  7. Enter the email address of any employees you don't have an existing email for.
  8. Enter an email subject and message to go out to all recipients.
  9. (Optional) The Mark as sent checkbox is automatically selected. This can be deselected.
  10. (Optional) Tick the Send me a copy checkbox to receive a copy of each email yourself.
  11. Click Send.
