Email a file to your organisation's file library Inbox

Xero gives your organisation a unique email address for your file library's Inbox. This means you and your colleagues can email files directly to the Inbox.

Email a file to the file library Inbox

Email files to the Inbox by sending an email from your own email program to your organisation's unique Xero email address.

  1. From the header, click the file icon Image showing the file icon.
  2. Either:

    • Click on the unique email address, or
    • Click on the cog icon next to the address, then select Copy to clipboard or Download vCard.

  3. Add the email address to the contacts in your own email program.
  4. In a new email in your email program, attach a file and send.

    Refresh your Internet browser if you're emailing a file to the Inbox for the first time and you want to see your email appear in the Inbox.

You may want to share your organisation's unique Xero email address with your colleagues so they can also email files to the Inbox.

If you want to save the email message which accompanies an emailed file, move the emailed file from the Inbox to another folder.

How Xero notifies about successful or failed file uploads

Xero may send a notification of whether the email file upload was successful or not. This depends on who sent the email, and whether the file upload is successful.

If the email sender is:Notification
A Xero user with access to the organisation

Xero notifies them when the file is uploaded successfully, or fails to upload.

A Xero user with no access to the organisation

Where the file:

  • Uploads successfully - no notification
  • Fails to upload - Xero notifies all users in the organisation, but not the email sender.

A non-Xero user

Where the file:

  • Uploads successfully - no notification
  • Fails to upload - Xero notifies all users in the organisation, but not the email sender.

Reset your file library Inbox email address

  1. From the header, click the file icon Image showing the file icon.
  2. Click on the cog icon next to the address, then select Reset email address.

  3. Click Reset.
