Create a new transaction directly from the file library

Create a new sales invoice, bill, expense claim receipt, or a spend or receive money transaction, directly from a file in the file library. Xero attaches the file to the new transaction.

About creating a new transaction directly from the file library

  • Attach multiple files to a new transaction.
  • Preview the attached file as you create a new transaction.
  • When you create a transaction from a file in a folder, the file remains in the folder and a copy is attached to the transaction.
  • When you create a transaction from a file in the inbox, the file is removed from the inbox. To keep the file in the file library, move it to a folder.

Create a new transaction directly from the file library

  1. From the header, click the file icon Image showing the file icon.
  2. Locate and select the file you want to attach to the transaction. Select multiple files to attach them to the same transaction.
  3. Click Add to new, then select the transaction type you want to create.
  4. If you're creating a spend or receive money transaction, select the bank account, then click Select.
  5. Preview the file in a side by side view in the transaction screen.

    • Click the arrow icon to switch between the side by side and a larger window view.

    • To close the file preview, click the X icon.

  6. Click Save or Approve.
